Rehearsal Registration Terms

Please read these terms carefully before registering for a rehearsal. By completing your registration, you confirm that you have read, understood, and agree to abide by these terms.

Eligibility

Rehearsal registration is open to active participants only. This includes singers, musicians, worship leaders, sound/tech team, and any individuals who have been given specific authorisation by the Praise in the Park Luton coordination team to support the rehearsal.

Registration is for the purpose of participation, not observation. If you are unsure whether you are eligible, please contact the team before registering.

Lunch Provision

A complimentary lunch is provided exclusively for registered participants who have opted in during the registration process. Lunch is catered based on the number of registered attendees and the meal selections made at the point of registration.

Lunch is not available for family members, children, or guests accompanying a participant. Only one meal per registered participant will be provided.

If you are bringing children or other family members, you are responsible for providing their own food. We understand this may be disappointing, but catering is funded specifically for those who are actively taking part in the rehearsal, and we must manage our resources accordingly.

If you registered for lunch but are no longer able to attend, please cancel your registration as soon as possible so we can adjust catering numbers and avoid food waste.

Allergens and Dietary Responsibility

All menu items available during registration are labelled with allergen information in accordance with Natasha's Law (UK Food Information Amendment). The 14 major allergens are clearly identified for each dish.

By registering and selecting your meal choices, you confirm that you have reviewed the allergen information for each item you have selected and accept full responsibility for ensuring your choices are suitable for your dietary requirements.

All food is prepared in an environment where allergens are present. While every precaution is taken, Praise in the Park Luton cannot guarantee that any dish is completely free from traces of allergens. If you have a severe allergy, please speak to the catering team on the day before collecting your meal.

If you have specific dietary needs that are not covered by the available menu options, you are welcome to bring your own food.

Children and Guests

Participants are welcome to bring children to the rehearsal venue. However, please note the following:

Praise in the Park Luton does not provide supervision, meals, snacks, or activities for children. Parents and guardians remain fully responsible for their children at all times throughout the rehearsal, including during breaks and lunchtime.

Children must not be left unattended at any point during the event. The rehearsal environment may include sound equipment, instruments, and other items that could pose a risk if not properly supervised.

Attendance Commitment

By registering, you are confirming your intention to attend and actively participate in the rehearsal. Your registration is used to plan catering, seating, set lists, and logistics.

If you can no longer attend after registering, please cancel your registration as soon as possible so that the catering team can adjust numbers. Failure to attend without cancelling affects the team's ability to plan effectively and may result in wasted food and resources.

Photography and Media

Photographs and video recordings may be taken during rehearsals for promotional and social media purposes. By attending, you consent to being photographed or filmed. Images may be used on the Praise in the Park Luton website, social media channels, and promotional materials.

If you do not wish to be photographed, please notify the coordination team at the start of the rehearsal and reasonable efforts will be made to accommodate your request.

Health, Safety, and Liability

Participants are responsible for declaring any relevant medical conditions (including diabetes and other health concerns) during the registration process. This information is used solely to ensure appropriate support is available on the day.

Praise in the Park Luton takes reasonable precautions to ensure the safety of all attendees. However, participation is at your own risk, and PITP accepts no liability for personal injury, illness, or loss of personal belongings during the rehearsal.

In the event of a medical emergency, the coordination team will contact emergency services and make reasonable efforts to assist.

Code of Conduct

All participants are expected to conduct themselves respectfully towards fellow attendees, the coordination team, and the venue staff. Please follow any directions given by rehearsal coordinators, including timekeeping, set rotations, and health and safety instructions.

Disruptive or disrespectful behaviour may result in being asked to leave the rehearsal.

Use of Your Information

Your registration details, including your name, email address, phone number, dietary selections, and medical information, are collected and used solely for the purpose of organising the rehearsal. This includes managing check-in, catering, and any necessary health-related support.

Your information will not be shared with third parties. Your data will be kept on record for future event management and communication purposes. If you would like your data removed at any time, please email gdpr@praiseintheparkluton.co.uk and your records will be deleted. For full details, please refer to our Privacy Policy.

Amendments

Praise in the Park Luton reserves the right to update or amend these terms at any time. The latest version will always be available on this page. Participants are encouraged to review the terms each time they register for a new rehearsal.
